Thinking About Getting an Authority?

Filing for an Interstate Operating Authority can be cumbersome and time consuming. There are mandatory waiting periods, options for state accounts and intrastate authorities. Ultimately, all you want to know is when you will be able to run. Here is a quick overview of the process.

First, your application is processed electronically with the federal highway for an MC#, USDOT# and BOC-3. The numbers are usually available within 24-48 hours and are given to you as they become available.

Secondly, insurance filings are requested to be sent to FHWA and an IFTA account, if needed, is applied for with your base plate state.

Once your application has been on file and is viewable online with FMSCA, a mandatory 3 week waiting period begins. After the authority shows online the KYU & NY Hut are applied for. After the waiting period, the authority will become active and then can be used. (It is illegal to operate without being active)

Intrastate Authorities are needed when picking up and dropping off within state lines.

Requirements for an additional account:

If you are of certain gross weights or over as follows:

  • Federal Requirement you must have at least 750,000 primary liability when hauling general freight.
  • IFTA: 26,001 and over
  • KYU: 59,999 and over
  • NM: 26,001 and over
  • NY Hut: 18,000 and over
  • TxDOT - Anyone hauling oversize loads within Texas

All records to substantiate tax reports must be keep for four (4) years. These records should include trip logs, mileage records by state, trip permits, and fuel receipts.

Distance Record-Miles:
  • Distance traveled by state
  • Date - starting & ending
  • Trip Origin/Destination
  • Route of Travel
  • Odometer - at start/end point
  • Total Trip Miles & By State
  • Unit Number/Vehicle ID
  • Vehicle Fleet Number
  • Registrants Name

Original Fuel Receipts:

  • Date of EACH receipt
  • Name & Address/Sale location
  • # of Gallons Purchased
  • Vehicle the fuel is purchased for
